ApolloCon 2012 Volunteer Positions

The planets have aligned and the veil has lifted the way is clear....

At this moment the Volunteering Department can be 99.9% certain, with usual Murphy's Law/cosmic accuracy (barring Finagle's Law of Dynamic Negative), exactly what positions are still in need of Member Volunteer assistance.

Descriptions are shortened for ease of use.

More information and hours can be obtained by contacting our Volunteer Coordinator until Monday, June 20, or at ApolloCon's Volunteering Table (Friday - Sunday). Volunteering will be offline and 100% on the job all three days of ApolloCon greeting members, assisting departments, and generally having fun and meeting new people!

Con Suite

Consuite Minion
  • Friday 2PM-Midnight
  • Saturday 7AM-Midnight
  • Sunday 7AM-4PM

SHIFT: 1 hour

DUTIES: Volunteers will be responsible in creating total Con Suite coverage and service. There will be two-three bodies in and around the Con Suite at any given time and will take turns with the following duties:

Answering questions, offering assistance, keeping traffic flows going, and politely enforcing posted Con Suites listed rules and resolving issues.

Monitor food and beverage levels, spot clean, restock.

Keep the Con Suite clean and tidy, helping the Con Suite leads keep track of stock levels.

THE GOAL: Well maintained Con Suite = HAPPY APOLLOCON MEMBERS!

RESTRICTIONS: Age 18 or older 8AM-5PM. Age 21 or older 5PM-MIDNIGHT. These jobs are physically active and certain basic requirements must be met: Ability to lift up to 20-30lbs, bend, reach, and walk/stand for more then 60 mins at any given time. Follow written/verbal direction. Social ability to interact with visiting ApolloCon members by making them feel welcomed and politely enforcing Con Suite rules and regulations. Active ability to multitask/shift gears quickly to meet rapidly changing needs. Maintain basic sanitary public food handling standards, which may include washing utensils and the timely replacement of food items (All physical food preparations will be handled by the Department leads).

Charity Auction

Auction Runner
  • Set-up/Briefing: 5PM Saturday
  • Event: 6PM-7PM Saturday

SHIFT: 2 hours

DUTIES: Assist Art Show/Charity Auction Leads and back-up with initial set-up and act as a second pair of hands during the live auction. This may include picking up to display items, moving, tagging, and bagging items as they are sold.

RESTRICTIONS: Age 18 or older. This job is physically active and certain basic requirements must be met: Ability to lift up to 10-20lbs, bend, reach, and walk/stand for more than 30-60 minutes at any given time. Follow written/verbal direction.

Setup/Teardown
  • Friday: 1:30PM-2PM
  • Saturday: 9:30AM-10AM
  • Sunday: 9:30AM-10AM
    Noon-12:30pm

DUTIES: Assist Charity Auction Leads with setup or teardown.

RESTRICTIONS: N/A

Gaming

  • Friday: 6PM-10PM
  • Saturday: 10AM-10PM
  • Sunday: 10AM-4PM

DUTIES: Answer any questions pertaining to the games, direct people where to go and start games, assist Gaming lead as needed.

BOARDROOM DUTIES: Verify that all players have con badges, make sure no one under the age is in the boardroom (during age restricted games), politely remind all involved that things can't get too loud or out of control if the situation arises.

RESTRICTIONS: Age minimum 14-15, basic knowledge of gaming.

BOARDROOM RESTRICTIONS: Age minimum 18, basic knowledge of gaming.

Dealer Room

Security/Communications
  • Friday: 5PM-9:30PM
  • Saturday: 9:30AM-7PM
  • Sunday: 9:30AM-2PM

DUTIES: Help with communications between the dealers' room and Con Ops; monitoring of dealer space to discourage possible theft; first response to any emergencies in dealers' room area.

RESTRICTIONS: Must be 18 or older. Physical ability to lift 30 pounds or more and to stand and walk for long periods of time; prefer experience working dealer's room and/or security.

Set-up/Tear-down
  • Friday: Noon-5PM
  • Sunday: 2PM-5PM

DUTIES: Assisting dealers with setup and teardown of booths, loading and unloading of merchandise and displays.

RESTRICTIONS: Must be 18 or older. Physical ability to lift 30 pounds or more and to stand and walk for long periods of time; prefer experience working dealer's room and/or security.

Registration

Registration Table Attendant/Badge Pickup

DUTIES: Assist the Registration department in distributing pre-registered member badges and verifying correct member information. This will be done by having the member sign for the badge and verify their registration information from a binder, while you search for their badge by last name and hand them holders. A stapler will be provided for members to seal their own badges if they so choose.

RESTRICTIONS: Must be 18 or older, fluent in basic Customer Service, able to follow verbal or written instruction, and be in a seated position for the majority of your shift. Basic Customer Service consists of verbally welcoming our invited Guests and members as you search for their badges, verifying information, answering basic questions if asked, thanking them for joining us, and wishing them a good day.

Registration Table Attendant/Label Maker
  • Friday: 8PM-8:45PM
  • Saturday & Sunday: OPEN

DUTIES: Assist the Registration department in making Con name labels for purchased badges. This will include operating a computer/label maker and passing out badge supplies. A stapler will be provided for members to seal their own badges if they so choose.

RESTRICTIONS: Must be 18 or older, fluent in basic Customer Service, able to follow verbal or written instruction, and be in a seated position for the majority of your shift. Basic Customer Service consists of verbally welcoming our invited Guests and members as you search for their badges, verifying information, answering basic questions if asked, thanking them for joining us, and wishing them a good day.

Registration Table Attendant/2nd cashier & T-Shirt sales

DUTIES: Assist the Registration department in ringing up 2009 weekend or day pass memberships and Conference t-shirts, Sunday may include 2009 day passes and 2010 pre-registrations. This may include cash, check, or charge transactions.

RESTRICTIONS: Must be 18 or older, fluent in basic Customer Service and monetary transaction methods, able to follow verbal or written instruction, and be in a seated position for the majority of your shift. Basic Customer Service consists of verbally welcoming our members as you process their membership or other purchases, verifying information, answering basic questions if asked, thanking them for joining us, and wishing them a good day.

Registration Table Attendant/Mobile Greeter
  • Friday: 7PM-8:45PM
  • Saturday: mid-morning and afternoon

DUTIES: Assist the Registration department with Registration table traffic flow and member/Registration resource distribution. This is done by assisting ApolloCon members with basic question, funneling traffic to the correct lines (cashiers or the two alpha split pre-reg lines), handing out Registration clipboards filled with at-door registration forms, and restocking Registration with Welcome bags and T-shirts when levels run low.

RESTRICTIONS: Must be 18 or older, fluent in moderate to advance Customer Service, able to follow verbal or written instruction, and be active/mobile for the majority of your shift. Basic Customer Service consists of verbally welcoming our invited Guests and members, answering basic questions if asked, thanking them for joining us, wishing them a good day, and passing out information during rush hours.

Logistics

Logistics General (Set-up/Tear-down) Crew
  • Friday: 2PM-6PM
  • Saturday: 6PM-8PM
  • Sunday: 1PM-3PM, 4PM-5PM

DUTIES: Unload/stack/Lug/Haul/Pack/Load - Set-up, arrange, and tear down equipment and other needed ApolloCon supplies. By helping before and after the event, you will be free during the event.

Logistics Advanced Crew
  • Friday: 10AM-Noon, 4PM-10PM
  • Saturday: 8AM-10AM, Noon-2PM, 6PM-8PM
  • Sunday: 8AM-10AM, Noon-2PM, 4PM-6PM, 6PM-8PM

DUTIES: Set-up, arrange, monitor, and tear down SPECIFIC equipment and other needed ApolloCon supplies.

RESTRICTIONS: Must be 18 or older, constant movement, walking, and on-the-spot decision making a must.

Operations

Room Attendant
  • Friday: 5PM-6PM, 10PM-11PM
  • Saturday: 1PM-2PM, 7PM-8PM
  • Sunday: 11AM-Noon

DUTIES: Act as an integral interface between ApolloCon members, the Hotel staff, departments, and various other Conference entities. This may include monitoring the radio system, logging issues, contacting appropriate parties for resolution, assisting in routing labor and equipment, and keeping departments on schedule with events as they unfold. Certain activities have a cap on attendance; when these reach FULL, please contact the appropriate parties. Answer questions about various events. The event forms and instructions may provide the answers to some questions. If not, please direct members to the activity's host.

RESTRICTIONS: 18 years or older, able to follow written/verbal directions, basic customer service skills in working with the public, ability to record and route information, and function in a multi-use area.

General Volunteering

  • Friday: 2PM-9PM
  • Saturday: 8AM-7:30PM
  • Sunday: 9AM-2PM

DUTIES: Help out throughout the con by taking room counts, giving committee members bathroom breaks, and any other quick job that comes up during the con. The shift can contain several different errands each hour. As a helper, you will be assisting the Volunteer leads with answering questions, directing people where to go and getting people involved with volunteering, including on-site recruitment.

RESTRICTIONS: Minimum age 14. Able to move easily around the con, show good customer service skills and provide friendly and courteous help to anyone who comes to the volunteer station.

Masquerade

Masquerade Department - Catcher
  • Saturday: 7:15PM - Briefing
  • Saturday: 8PM-10PM - Event

DUTIES: Provide costumed participants solid assistance onto and off stage. Must be in dark/black clothing, as not to detract from costumed participants.

RESTRICTIONS: 17 and older, Ability to walk/stand for up to 2 hours, developed upper body strength to provide minimal support for costumed participants. Follow written/verbal direction.

Art Show

Doorguard/Luggage Checker
  • Friday: 4PM-9PM
  • Saturday: 10AM-8PM
  • Sunday: 10AM-Noon

DUTIES: This job is more of a security position. As each person comes in, they are visually checked to make sure they have a badge, all purses, luggage, food and drinks will need to be put in the checker area and that person will receive a ticket for their items. When it is time for the individual to leave, they will present you with their ticket and in return you provide them with their items. All items will be marked and set aside in a particular manner to make sure no one's items gets misplaced. Refer to Department head or assistant as to what the method(s) is/are to securely check in/out people's items. Visually check people while they are leaving the art room to make sure they are not taking anything with them that is not theirs. All items will be paid for at the main art desk by the exit. Any other information pertaining to security will be provided to you by the art show department head, Anita Haddock or her assistant.

RESTRICTIONS: Must be 16 or older. Be polite towards staff and customers including: verbally welcoming our members and staff as you check their items in and out. Must not engage in potential quarrelsome conversation topics such as politics or religion.

Second Checker/Credit Card Runner
  • Friday: 4PM-9PM
  • Saturday: 10AM-8PM
  • Sunday: 10AM-Noon

DUTIES: This job assists the checker as need be when the art show gets busy or the first checker needs a break. Also, runs credit cards to Registration desk to process and return with credit cards and forms back to Art show to finish processing.

RESTRICTIONS: Must be 16 or older. Be polite towards staff and customers including: verbally welcoming our members and staff as you check their items in and out. Must not engage in potential quarrelsome conversation topics such as politics or religion.
